Setting Up Automatic Payment Plans

Vanco's most popular payment card option is a card-not-present solution used to automatically process payments on a scheduled (recurring) basis. This web-based solution works with any Internet-connected computer and requires no special software. Payment card information is entered only once to initiate a complete series of automatic monthly payments. For many offices, this solution eliminates the risky and time-consuming practice of re-entering payment card information every month.

Swiping Credit and Debit Cards

Vanco also offers an optional card reader that turns any computer into a card swipe machine for processing card-present (one-time) transactions. This small card reader plugs right into the USB port on any Internet-connected computer and won't tie up another phone line or require another network connection. Use Vanco card readers at the front desk, in the back office or in multiple practice locations.

Keying In Real-Time Transactions

Virtual Terminal is another option for card-present transactions. It works like the card swipe option except that payment card information is entered using a computer keyboard instead of a card reader.

How to Set up Recurring Payments



1.
Authorize


Patients authorize your practice to process payments from a credit or debit card. This is typically done in writing using an authorization form.

2.
Enter the Payment


After receiving a signed authorization form from a patient, the payment information is entered into our system for processing. The easiest and most common way to enter payment information is through Vanco's online Service Center, a secure website designed for our clients to manage their electronic transactions. Once a payment is entered, the rest is automated. A friendly Vanco implementation specialist will help you get going and provide ongoing assistance.

3.
Process and Settle


On the scheduled payment date, Vanco processes all authorized card transactions and directs the funds into your account.

4.
Confirm


Vanco generates a deposit report confirming the total amount deposited into your account. Your patients in turn see the transactions on account statements from their credit card company or financial institution.
